My bill is higher than expected

What happened?

If your bill is higher than expected, it's probable that more paid seats have been added to your Figma plan than initially anticipated.

When an admin approves a seat request, we first check to see whether the requested seat is available in your plan. A seat is available if it is not assigned to a user.

  • If the requested seat is available: The seat is assigned to the user, and their previous seat is made available for someone else to use. This results in no additional seats or costs.
  • If the requested seat is not available: You need to purchase the requested seat.

How to fix it

You can review your seats at any time during your billing cycle.

If you want to restrict someone's access, you can downgrade them to a free View seat. Then, you can remove any seats that are no longer needed at your next subscription renewal.

Additionally, you can change your seat approval settings to a more restrictive setting to ensure that new seats are only getting added if they’ve been explicitly approved by an admin.

Change someone's seat type
  1. From the file browser, click  Admin in the left sidebar.
  2. Select the People tab.
  3. Click a person’s seat in the Seat type column.
  4. In the popup modal, select and confirm the View seat.

Change a users seat type by selecting their current seat from the Seat type column.

Adjust seats at renewal

At your plan renewal, you’ll be able to adjust the number of seats on your subscription.

Change seat approval settings

For each seat type, admins can choose from the following seat approval settings:

  • Manually approve seats: All seat upgrade requests must be manually approved by an admin.
  • Manually approve, unless seat is available (default): People who request a paid seat are automatically granted one if it is available.
  • Auto-approve seats: All seat upgrade requests are automatically granted. If there are no seats available, a new seat will be purchased.

To adjust your seat approval setting:

  1. From the file browser, click  Admin in the left sidebar.
  2. Select the Settings tab.
  3. In the Billing section, click Seat approval settings.
  4. In the popup modal, select an approval setting for each seat type.

I am being charged monthly on an annual subscription

What happened?

Your annual subscription covers the number of Full, Dev, and Collab seats you had when you first upgraded your team.

If you are on the Professional plan and add more paid seats to your team, Figma will charge you for those seats on a separate monthly subscription. This gives you the flexibility to manage seats on multiple billing cadences.

How to fix it

If new users only need access to paid features for a short period of time, you can keep managing their billing on a monthly cadence. You can then move them to a View seat when their access is no longer needed.

Downgrade or remove their access

  1. From the file browser, click Admin.
  2. Select the People tab.
  3. Click a person’s seat in the Seat type column.
  4. In the popup modal, select and confirm the View seat.

Unassigned seats will not be renewed for the next month.

If you’d like those users to be a part of your annual subscription, you can simplify your billing by converting them to annual seats.

Add new seats to your annual subscription

If you’d like those users to be a part of your annual subscription, you can simplify your billing by converting them to annual users. Figma will charge you a pro-rated fee for the remainder of the billing period.

  1. From the file browser, click Admin.
  2. Select Settings.
  3. In the Plan section, select Add additional seats.
  4. Use the  plus and minus buttons to adjust the number of of seats you want to add. You can add seats for each seat type separately.
  5. Click Add annual seats.
