In March 2025, Figma introduced updates to how seats and other billing features work. This article describes the updated billing model.

Learn more about the transition to the updated billing model.

Who can use this feature

Available on the Professional, Organization, and Enterprise plans

On the Professional plan, team admins can manage seats.

On the Organization plan, organization admins can manage seats.

On the Enterprise plan, organization admins manage seats for anyone in the organization. Billing group admins manage seats for people in billing groups they manage.

Every member and guest on the Professional, Organization, or Enterprise plans has a seat type that determines which Figma products they can access.

Your plan and seat count affect your overall subscription cost.

A user’s permissions determine which files they have access to within each product.

Manage user seats

When you purchase a Figma plan, you purchase a set number of seats for your billing term. These seats are available for you to assign to users as you see fit.

Change seat type

  1. From the file browser, click  Admin in the left sidebar.
  2. Select the People tab.
  3. Click a person’s current seat from the Seat type column.
  4. In the popup modal, select and confirm the new seat type.

Change a users seat type by selecting their current seat from the Seat type column.

Add new seats

New seats can be added to your subscription as new users join your team or organization. When you invite users, you can choose which seat type to give them.

  • Invite team members
  • Add members or guests to an organization

On the Professional plan, you can also purchase additional seats at any time.

Members can also request seats. Admins set approval settings for new seats, which determine if new seat requests are manually or automatically approved.

Note: Additional approved seats are added to your next invoice. If you’re on the annual Professional plan, new seats are billed on a separate monthly subscription.

Remove seats

Seats are purchased for the duration of your billing term. Before your next renewal date, you’ll have the chance to remove any unused seats from your account from your Billing overview page.

If you need to remove a user’s access prior to your next renewal, you can either:

  • Change their seat to the free View seat, which provides only view and comment access to Figma Design, FigJam, and Figma Slides.
  • Remove the user from the team (Professional plan) or remove the user from the organization (Organization and Enterprise plans).

In both scenarios, their previous seat is made available for someone else to use for the remainder of the subscription period.

You can remove available (unassigned) seats at your next plan renewal.

  • For annual plans, thirty days before your annual plan is set to renew, you’ll see a banner at the top of your Figma admin. Click Review seats to open a modal to adjust the number of seats on your plan for your next renewal.
  • For monthly Professional plans, there is no renewal period. You can make changes to seats on a monthly subscription at any time. Unassigned seats will not be renewed for the next month.

Available seats

A seat is available if it has been purchased in advance, but no one is currently assigned to it. For example:

  • When someone leaves your team or organization, their seat will become available for someone else to use.
  • If an admin moves someone to a free View seat, their current seat becomes available.
  • If you’ve pre-purchased seats at the beginning of a subscription term, but no one is using them yet.

You are billed for all seats on your plan, whether they are available (unassigned) or unavailable (assigned to a user). On the Professional plan, monthly seats that are unassigned are automatically removed at the next monthly invoice.

Here’s how to see how many available seats you have on your plan:

  1. From the file browser, click Admin in the left sidebar.
  2. Select the Billing tab.
  3. In the Overview tab, view the Total seats table.

For each seat type, you’ll see:

  • The total number of seats on your plan
  • How many seats are available, if any

View how many available seats you have from the Total paid seats table on your billing overview page.

Tip: You can also view how many seats you have at the top of the People page.

How seat changes work

When an admin approves a seat request, we first check to see whether the requested seat is available in your plan. A seat is available if it is not assigned to a user.

  • If the requested seat is available: The seat is assigned to the user, and their previous seat is made available for someone else to use. This results in no additional seats or costs.
  • If the requested seat is not available: You need to add an additional seat to your subscription.

If you no longer need an unassigned seat, make that adjustment at your next plan renewal.

Learn more about how adding seats impact your billing, or how to adjust or remove seat counts at your plan renewal:

    • Manage billing on the Professional plan
    • Manage billing on the Organization and Enterprise plans

Example: A user with a Collab seat requests a Full seat

John has requested a seat change from a Collab to a Full seat.

When you approve the request, you can see if you have any Full seats available.

  • If a Full seat is available, John can start using it, and their Collab seat is made available for someone else to use.
  • If there is no Full seat available, Figma will add a Full seat to your subscription.

An admin can move a user out of their assigned seat to a free View seat at any time. The user's existing seat will become unassigned and available for someone else to use.

If you no longer need an unassigned seat, make that adjustment at your next plan renewal.

    • Manage billing on the Professional plan
    • Manage billing on the Organization and Enterprise plans

If an admin wants to move a user to a lower cost seat, we first check to see whether that lower cost seat is available in your plan. A seat is available if it is not assigned to a user.

  • If the seat is available: The seat is assigned to the user, and their previous seat is made available for someone else to use. This results in no additional seats or costs.
  • If the seat is not available: You need to purchase the desired seat for this user, and their existing seat will be made available for someone else to use.

Example: An admin moves a user from a Full seat to a Collab seat

An admin is reviewing seat usage and decides to move John from a Full seat to a Collab seat, in order to make his Full seat available for another use.

When reviewing seats, you can see if you have any Collab seats available.

  • If a Collab seat is available, John will get assigned to it and their Full seat is made available for someone else to use. This results in no additional seats or costs.
  • If there is no Collab seat available, Figma will add one to your subscription and make John’s Full seat available for someone else to use. If you don’t need the seat any more, you can remove it at your next renewal.

Manage seat requests

Members or guests can request seats for Figma products they do not have access to. As an admin, you can use seat approval settings to automatically manage new seat requests.

For each seat type, admins can choose from the following seat approval settings:

  • Manually approve seats
  • Manually approve, unless seat is available
  • Auto-approve seats

Review pending seat requests from your admin Dashboard.
